TRADERS TERMS & CONDITIONS
All Traders, Catering Units, and Charity Stands who exhibit at IOW Takeover are required to comply with the following. If any trader is shut down for contravening these terms and conditions or Environmental Health standards, all fees paid will be forfeited to IOW Takeover Ltd.
The location of your pitch will be determined by the Event Organiser; no guarantee can be given as to the location of any pitch. Once sited, stalls/units should not move under any circumstances unless in an emergency, without the agreement of the Trading Managers.
TRADE PITCH
Pitch sizes submitted on the application form must be accurate. Changes cannot be made once pitches are allocated. All pitches will be spaced next to each other. Traders who require more space may be moved, subject to availability.
All parts of your stall/unit must be within the allocated pitch and may not encroach on adjacent pitches. Trade pitches do not include structures or weather protection; traders must supply their own.
TRADER PASSES
Trader passes are limited. Additional team members must purchase a regular adult ticket. All passes must be collected from the Trading Managers upon arrival.
ARRIVAL
Traders must arrive at their allocated time and be approved by statutory authorities. No early access unless agreed in advance. You may be held in a holding area until shown to your pitch. Traders must be set up by 08:00 on show day.
UNLOADING
Traders must bring adequate stock and may only restock before public entry.
VEHICLES
All vehicles must display a Trader Vehicle Pass. Movement during the event is restricted for safety. Vehicles are brought on-site at the owner's risk.
CAR PARKING
Cold units may remain behind pitches where allowed. Additional vehicles must park in the designated Trader Car Park.
HOURS OF TRADE
Core hours are 09:30 to 16:00 on the Sunday. Optional trading on Saturday from 10:00 to 23:00. Sunday trading is mandatory.
TRADING
No responsibility is accepted for trade levels. No compensation will be offered due to adverse weather or other disruptions. Presentation and pricing are the trader’s responsibility.
RAFFLES & GAMBLING
No raffles or games of chance without written permission.
ALCOHOL SALES
No alcohol sales, including alcoholic syrups or liqueur items, without prior written approval. Breach will result in removal.
BRANDING
Use of the Takeover logo is prohibited without written consent. Unauthorized use may result in goods being confiscated.
PITCH MANAGEMENT
All staff must be 16+, sober, professional, and presentable. Any staff not meeting standards may be asked to leave.
HEALTH & SAFETY
Traders must provide their own first aid kits and accident book. Risk assessments and insurance policies must be available. PAT testing and safe electrical practices are mandatory. Unsafe setups will be disconnected.
STRUCTURES & BRANDING
Structures must be secure, flame-retardant, and fit for purpose. Daily checks are required. Unsafe structures must be fixed or removed.
DAMAGE TO GROUND
Any ground-breaking requires written consent. Damage caused to the site will be chargeable.
LIABILITY
Traders are responsible for their own safety and liability. The organiser is not liable for injury, theft, or damage.
DISTRIBUTION OF LITERATURE & BANNERS
No materials may be distributed outside your pitch without written approval.
CHARITABLE COLLECTIONS
Collection pots are allowed on pitch only. No bucket shaking around site.
SECURITY
Traders are responsible for their own stock and pitch. Security cooperation is mandatory.
INSURANCE
Public Liability Insurance is required (minimum £5 million). Employers Liability is also required for caterers and activity providers.
CHILDREN
Children should not be on-site during build and break periods. If present, they must be supervised and stay within your pitch. No children in food preparation areas.
RUBBISH & DISPOSAL
Traders are responsible for their own waste, including hazardous items like oil. Leave your area clean. Waste left behind may result in charges and future bans.
FOOD HYGIENE
Caterers must comply with all applicable hygiene regulations.
REGULATIONS
It is the caterer’s responsibility to comply with licensing and public safety laws.
MENUS, PRICES & ALLERGENS
Clear signage is required for pricing, allergens, and dietary information.
FIRE COVER
Caterers and machinery operators must have in-date fire extinguishers and a fire risk assessment. Layouts must include clear escape routes.
GAS SAFETY
Gas equipment must be certified. Only essential cylinders and one spare permitted at pitch. Excess must be stored in compound. Cylinders must be secure and upright.
By applying for a pitch at IOW Takeover, you agree to abide by all terms above. Failure to comply may result in removal from the event without refund.
